You agreed on the plan. Then your A.I. lost track of it.

You can quickly (<5 minutes) set up the new Grok Bot platform to be your Chief of Staff, reading your emails, calendars, and project management tools and telling you what to prioritize, and even let it draft simple email repsonses for you to save you time. This is not another daily summary. One bot reads the mail and the calendar, drafts the work in Gmail, and only pings you for a yes or no. I run it on Mondays when the emails are deep and there is a lot to prioritize. It puts out the fires first, and reminds me of things easy to miss.
What you are hiring
Grok Bot is a desktop app. It is not the chat at grok.com. You download it, start a new bot, and name it Chief of Staff. One bot is enough. Do not start a team of bots tonight.
Connect Gmail and Calendar separately. Gmail does not add Calendar. I also connected Drive, because I want it to be able to put a file there, and Asana, where my project management tasks are. After you connect, open Tools and take the dangerous ones away.

Priorities, in order:
1. Unblock what is already late or due today. Asana, the shared calendar, and the inbox are the source of truth. List only tasks that are overdue, due today, or blocking a client. Cap at 3. If there are 14, rank them. Do not dump the board on me.
2. Keep my leads warm. One next action each. Not “do sales.” Reply, send the file, book the slot, or park it. If a lead has had no human touch in 14 days, that is a fire. A system email that someone viewed the proposal is not.
3. Answer only the emails a human must answer. Client info requests, please send, please confirm, something that unblocks their side. File shares, project notifications, and “someone viewed this” get labeled and left out of my morning.
Never send email, never RSVP, never create calendar events unless I say send. Draft in Gmail only. Label the draft BOT DRAFT plus the subject. Reply in 4 lines: Fires / Drafts ready / Decisions / Ignore pile.
After a good reply, tell it to remember those rules. Do not wait to repeat them tomorrow.
What a good morning looks like
I say go. I get this, not a novel. If it writes a status tour of every project, it failed.

A member on the call asked the version I wish I had asked sooner. A meeting email comes in. A kid starts crying in the other room. You saw it. You didn’t answer. Will the bot catch that?
Yes, if a reply was required and none went out. It is looking for things that were stated as due, things coming up, and people you have not answered. It will not be perfect. You and I both have 500 things. It is trying to grab the ones that feel like fire.
You don’t have to schedule it
I told it the rules. I did not tell it to run every morning. I come in when I’m ready and say run now. It can run on a weekday timer, laptop closed, if you want that later. Start with run now.
No Grok Bot yet? Do the same job in the Claude chat you already pay for. Give it the mail and the calendar, turn send off, and each morning say run today’s report. You have to open it. That is the trade. The bot is the version that can be waiting when you sit down.

Fifteen minutes, one bot
- New bot. Name it Chief of Staff. Not a group.
- Connect Gmail. Then connect Calendar. Turn Send, Reply, Forward, create, update, delete, and RSVP off.
- Paste the standing rules. Tell it to remember them for this bot only.

- Say run now. You want four lines, and drafts already in Gmail.
- If it dumps the whole board, the cap failed. Tell it again: three fires, then stop.
The other job from the same call, locking a plan so a long chat can’t drop it, is you agreed on the plan, then your AI lost track of it.
